CHAIRS/SPEAKERS GUIDELINES
CHAIRS

Locate your session room in time. You must be in your session room at least 15 minutes prior to the
start of the session. The chairman of a session should ensure the smooth organisation and development
of the session and should therefore, in general, not give a lecture during the session.
Please note that:
1. speakers should strictly observe speaking time (15 minutes); a clock will alert the chairs and speakers 2 minutes before the scheduled end of the presentation, then a special audio video system will first smooth and then stop the speaker voice and video projection.
2. discussants should first clearly state their name, institution and country of origin; they should not
speak without permission
3. the audience needs sufficient time to change rooms in between sessions, therefore the chairman
(and speakers) must see to it that speakers do not exceed their speaking time.
SPEAKERS
Locate your session room in time. You must be in your session room at least 15 minutes prior to the
start of the session.
Facilities for Power Point presentations are provided.
Please check your Power Point presentations at least two hours prior to the start of your session at the
Speaker Centre located on the underground floor.
Follow the chairs’ instructions, in particular those regarding the timing of your lecture speakers should strictly observe speaking time (15 minutes); a clock will alert the chairs and speakers 2 minutes before the scheduled end of the presentation, then a special audio video system will first smooth and then stop the speaker voice and video projection.
If a speaker has any link (advisory board or whatsoever) with the industry regarding the topic of his
/ her presentation, this should be mentioned to the audience prior to the session. Brand names
CANNOT be used in the titles of the lectures; generic (product) names are allowed.
SPECIAL INSTRUCTIONS FOR SPEAKERS IN ABSTRACT SESSIONS
ORAL SESSIONS
Time allotted to speakers in oral sessions is 7 minutes (not including 2 minutes for discussion). For
oral sessions Power point presentations are allowed.
POSTER SESSION
For poster sessions the speaking time is 6 minutes and the remaining 3 minutes are for discussion.
POWER POINT INSTRUCTIONS
Load your PowerPoint presentation at least 2 hours prior in the room where your presentation is
scheduled.
A technician will incorporate your presentation on the computer network that is used for the PowerPoint
presentations in the different meeting rooms. Your presentation can be loaded onto the network without
problems when it does not exceed 100 MB: larger files can cause problems!
A PC computer (no Macintosh) will be available in each rooms. The use of personal laptop will not be allowed.
Operating System: Windows XP Professional (Office 2007), Winzip, Acrobat Reader, QuickTime,
Power DVD.
Presentation Software: Power Point 2007, Adobe Acrobat Reader.
File Types: .ppt, .pps, .pdf
File Names: the presentation file must be labelled with speaker's last name.
PC projection (only POWER POINT file on CD or on a memory stick, USB port or DVD, it is not
possible to use Macintosh computer. Please load your CODEC files) will be provided in the Meeting rooms.
Use embedded pictures, do not use images linked to other files. Linked pictures will not show up in
your presentation.
SPEAKER CENTRE
Invited speakers, chairmen and oral abstract presenters must report to the Speaker Centre at least two
hours prior to their presentation in order to check it.
POSTER AREA/SESSIONS
Posters will be exhibited throughout the duration of the congress. Poster Discussions will take place
during the following time: Poster Session – Saturday, June 7 2008 from 08.00 to 10.00
Poster authors will be asked to stand next to their poster during these times.
PROGRAM CHANGES
The organizers cannot assume liability for any changes in the program due to external or unforeseen
circumstances. Please check the website for regular updates. The organizers reserve the right to cancel,
postpone, relocate or change any of the sessions.
